AI agents no longer just answer questions: they carry out whole tasks. Here are five your business can hand over today, and how to start without an IT department.
Until recently we asked artificial intelligence questions. In 2026 we give it work. AI agents read email, sort documents, capture data and follow up with customers, and they do it from the tools you already use: Claude, ChatGPT or Copilot.
The biggest change is access. Putting an agent to work used to be a development project, and today it is a feature of the tools you already pay for. There is still room to get there early: in McKinsey's November 2025 survey, 62% of companies were experimenting with agents and only 23% had one running at scale.
What an agent is
An agent is an AI that executes as well as answers. It takes an instruction, plans the steps and carries them out: it opens the file, pulls the data, moves it into the system and flags whatever needs your review. The best way to think about it is a fast new assistant: you explain what you want, you check what comes back and, over time, you trust it with more.
Five tasks your business can hand over today
1. Invoices and accounts payable
The agent receives invoices by email, pulls out vendor, amount and taxes, downloads and validates the CFDI files, and records them in your spreadsheet or accounting system. Anything that does not add up, it flags for you.
2. Customer service over WhatsApp
It answers common questions in Spanish and English, at any hour: prices, opening times, availability. It books appointments and passes you the cases that need your judgment, with a summary of the conversation.
3. Documents in order
It sorts contracts, quotes and client files, renames them to a single convention, pulls out dates and amounts, and warns you before something expires.
4. Prospecting and follow-up
It researches prospects in public sources, builds a profile for each one, drafts a first message and reminds you about the follow-ups. Your time goes into the conversation.
5. Business reports
It cross-checks sales, expenses and bank statements, and every Monday leaves you a summary of the week's numbers.
A real estate office, a boutique hotel, a clinic or an accounting practice in Playa can start with any of these five.
The four steps
Agents grow in reach one step at a time, and it is worth climbing them one at a time too:
- Your files: it works with the documents you already keep on your computer or in the cloud.
- Your applications: it operates inside Excel, PowerPoint or email, and connects to your calendar or your CRM. You stop driving the application: you ask the agent for the change.
- Your computer: it uses programs the way a person would, which is what old systems that connect to nothing require.
- The internet: it checks portals, compares options and fills in paperwork online.
On the last two steps, keep approval for every action switched on and use a dedicated machine. Before you open your files to an agent it helps to know what information can leave, which we covered in this post.
Build an agent, or just ask the AI?
An invoice flow that a few months ago took half an hour to set up on an automation platform now takes a single instruction, like this one: "Look for emails with attachments, check whether the attachment is an invoice and, if it is, pull out the data and put it in my invoice sheet." Then you ask it to repeat that every Monday.
For the small, frequent tasks of a business, that is enough. Automation platforms are for the critical processes that have to come out the same way every time, in volume.
What it costs
What used to be a development project now fits inside the subscription to an AI tool. Among companies already using agents, 66% report higher productivity and 57% report cost savings. That comes from 300 senior executives at US companies surveyed by PwC in May 2025, so the figure describes the ones who already adopted and not the whole market. The math for your business is simple: hours you free up each month, times what an hour costs you, minus the subscription.
How to start this week
- Pick one task: the one that takes the most hours and follows clear rules.
- Measure where it stands today: hours, errors or response time.
- Run it for four weeks, checking what the agent delivers, and compare.
Learn to use them at Kiin Hub
We are putting together a hands-on workshop at Kiin Hub to get your first AI agent working: you pick a task from your business, we set it up together, and you leave with it running.
Want the dates, or to hold a spot? Send us a WhatsApp message at 990 403 6041 or write to us from kiinhubcowork.com. We are glad to answer questions.
At Kiin Hub we have the Mesa Kiin: putting your case in front of people who know different things. Tax and accounting, labor, value proposition, process and technology. If you are about to put your first agent to work and want another set of eyes on it, bring it.
